Guide to Interlibrary Loan Services

This services are for all Nagoya University students and staffs.

 

If a book or journal you want is not available in Nagoya University (or your campus), users can order the copy of an article or the actual book.

 

Supplying libraries are, libraries at another campus of Nagoya University, libraries of other universities, as well as public libraries and the National Diet Library. Copies and books can also be ordered from oversea libraries, for example, libraries in U.S., Europe, or throughout the world.

 

The cost is paid by applicant in plinciple, but Nagoya University Library bears a part of the charge, because Nagoya University supports students and staffs needs for books and articles necessary for education, research and study.

How to use Interlibrary Loan Services

  • Please search Nagoya University collections in OPAC.
    When the books or journals are available in your campus, please visit the library by yourself.

 

  • After confirming that the material which you are looking for is not available in Nagoya University library and Nagoya University electronic Journal Database, please apply for ILL request through either of the following access. (*Nagoya University ID and password are required to use this service.)

① OPAC library services ⇒ copy request or book request


② OPACSearch with [Other Univ] tab of OPAC,
  and click its title to open [NII Bibliography Detail] screen,
  then click [ILL Copy Request (get a copy from another library)] or
  [ILL Lending Request (borrow the actual book)]
  in the “Related Information" area.


③ Click  NULink displayed on the result page when searching from databases.

  • Please fill in as much information as you can when applying.
    If the document information (book/journal title, publisher, desired article title, copy volume/pages, etc.) is not enough, sometimes the application might be canceled, or we will ask you more detail by email or phone call.
  • When the applocation is canceled, we will inform you by email or phone call
  • Central library or your departmental library is abailable for your order and pick up.
    There is some restriction in the library choice.

We will inform you when the ordered materials have arrived at the library.

 

Please pick up ordered materials.
Then, confirm the way of payment and the due date (Lending Request, borrow the actual book).

 

Please return the book before the due date to the pick up library (Lending Request, borrow the actual book).

Required time and the supplying library

Depends on the details of your order, we choose a supplying library in order of ①, ②a, ②b, ③.

※1 Laboratories have priority for books in research office (in laboratory).
It may take time. In case the book is in use, you can’t borrow it and the order will be changed to borrow the book from another library outside Nagoya University.

※2 Some libraries don’t order from oversea libraries. In that case please ask for Central library.

Copy Request (get a copy from another library)

Certified users can order photocopies of works within the scope provided under the Japanese copyright law.
In library, making photocopies is permitted under certain conditions such as:

  • Only a part of a copyrighted work (less than half of the total pages) already made public
  • All of an individual work in a periodical where a considerable period of time has passed since its publication (e.g. back number, the latest issue which published more than 3 months ago)
  • Limited one copy per person.
  • For the purpose of individual study or research
  • Reproduction of the copy is prohibited, regardless if it's paid or not.

How to request

 

  • If you want to get a copy even if you were charged:
    Note as “I need it if I were charged.”
  • A faculty or a staff who made a request at Central library, and want Posting service (must have a post that available for inner-campus mail):
    Note as "Posting request, *** department." or "Posting request, graduate school of ***."
    Your affiliation (graduate school, department, etc.) is required.
  • If a book or journal you want is in Nagoya University (or your campus), but it is not available:
    Note as "The book/journal in Nagoya University (or my campus) is not available because of ***."

 

Fees

Pick up/return at Central library and other libraries
University bears(sometimes charged ※3)

 

※3 You will be charged when the copies are supplied based on the pattern below.

・When the holding library doesn’t join the NII contract, and the applicant pick it up at libraries exsept for Central library.

・When the books are rare book or some special collections, the holding library outsources copying.

・Because of the payment methods (e.g. prepaid, Registered mail), Nagoya University Library don’t bear the charge.

・In case ordering from oversea library, and too many orders at a time.

・In case the cost is too high.

We may contact you if you will be charged.

We will inform you the cost when the copy arrives at the library.

 

  • The fee is paid by applicant (private expense). The payment should be made via bank deposit transfer.
    •  

      • The applicant make the Reimbursement claim to the Accounting section.
        Similar to payment by private expense, the payment should be made via bank deposit transfer. Meanwhile, please make the Reimbursement claim to the Accounting section.

      For faculties and staff (Copy Request)

      We send a copy of the literature obtained from outside Nagoya University (e.g.: other university, etc.) by inner-campus mail.

      • Target:Faculties and staff (must have a post that available for inner-campus mail)
      • Available Materials:copies (excluding some ordering require a charge)

      If you would like to receive by inner-campus mail, please enter your "posting request" and your affiliation (graduate school, department, etc.) in the note field when applying.

       

      ※ Books for actual book loan are not covered by inner-campus service.

       

      • Target:Faculties and staff who have applied services in the libraries located in Literal area.
      • Fees:When the holding library doesn’t join the NII contract (e.g. National Diet Library), you will be charged.

      If you would like to receive in the libraries located in Literal area, please choose them from pull-down selection of pickup library.

       

       

      • Please choose [University Expense] of application form [payment type], no matter how “General budget” or “Project budget”.
        You will be charged when the copies are supplied based on the pattern ※3 of [Fee] table above.
      • The ordering/pick up library is Your departmental library.
        Please choose [Pickup lib] or inform us with entering the [Note].
      • Departmental library does the payment process. Input in financial accounting system source is not required.
        When we contact you about your budget information, please be sure to inform it to us as soon as possible.
      • When you apply with your budget for the first time, please contact your departmental library.
        They will let you choose [University Expense] on request form.
        In case you are in hurry, simply enter as “Pay by the budget I have” in the comment field of request form.

Lending Request (borrow the actual book)

You can borrow books from libraries. Caution are as follows.

  • Journals cannot be requested.(Only the copy of articles can be requested.)
  • The applicant assumes full responsibility for any infringement of the copyright in the use of the item which he/she borrows through the application.
  • You must follow the libraries’ instruction of usage.
    • Some materials may not be available due to the condition, lending policies of the library, and so on.
      Sometimes the usage is limited within library.
    • Order from the National Diet Library, usage is limited within library, also, making copy is prohibited.

How to request

 

  • If you want to borrow a book for outside-Library use:
    Note as “Outside-Library use only.”
  • If a book or journal you want is in Nagoya University (or your campus), but it is not available:
    Note as "The book/journal in Nagoya University (or my campus) is not available because of ***."
  • If you have something to inform us, enter the [Note]. (e.g. reference from …, it is rare book of … University.)

※4 When Ordering/pick up at Central library, Nagoya University bears the postage to borrow, and Central library bears the postage to return.

※5 The cost and the way of payment will be informed to you after the books on arrival at the library.

 e.g. "When returning, please bring the postage stamps for the same amount of the charge to the library counter."

 About 500-1000 yen/order (estimated). Sometimes it costs more.

 About 2,000-5,000 yen/order (estimated). Sometimes it costs more.

 Nagoya University bears the postage to borrow.

 Borrow the book from inside campus libraries (for example: library in different campuses), no charge.

※6 When the holding library doesn’t join the NII contract, Nagoya University Library don’t bear the charge.

 

When borrowing through "Aichi prefecture library regular delivery service", Nagoya University and public libraries bear the charges for delivery.

  • please bring the postage stamps.

 

  • The applicant make the Reimbursement claim to the Accounting section.
    Similar to payment by private expense, the payment should be made by bying postage stamps. Meanwhile, please make the Reimbursement claim to the Accounting section.

For faculties and staff (Lending Request)

If you would like to receive in the libraries located in Literal area, please choose them from pull-down selection of pickup library.

 

  • Please choose [University Expense] of application form [payment type], no matter how “General budget” or “Project budget”.
    You will be charged when the copies are supplied based on the pattern ※4 or ※5 of [Fee] table above.
  • The payment patterns are different from schools.
  • When you apply for payment by using your budget for the first time, please contact your departmental library.
    They will let you choose [University Expense] on request form.
    In case you are in hurry, simply enter as “Pay by the budget I have” in the comment field of request form.

Borrowing through Aichi Prefectural Library Regular Delivery Service.

(Borrowing from public libraries in Aichi and nearby areas)

Books held by public libraries in Aichi and nearby areas can be delivered to Nagoya University Central Library.

Public libraries have books of general interest, books for children, books on local area, etc.

 

You can borrow books from these libraries without charge.

 

Caution are as follows.

  • Please check the availability in public libraries in Aichi or nearby areas.
    Refer to "Aichi prefecture Cross Database Retrieval".
  • Please type in "Borrow through Aichi Prefectural Library Regular Delivery Service." or "Borrow it from Public libraries in Aichi." in 'Note' on the web form.
  • 'Pick-up library' on the web form should be 'Central Library'.
  • Books can be borrowed. Copies cannot be requested.
  • This delivery service runs ones a week, it takes 2 weeks or more until arrival.
  • When the public libraries in Aichi and nearby areas don’t have the book, or the book is published within 6 months, the order will be canceled
  • Public libraries give priority to local residents, some books cannot be borrowed. (e.g. newly arrived books published within 6 months, popular books like novels, Audio-Visual materials like DVDs, reference books, regional books, rare books, bad condition books)

※ Aichi prefecture library regular delivery service runs once a week.

※ You can borrow the books from,
     Aichi Prefectural Library, Nagoya City Libraries, public libraries in Aichi prefecture,
     some public libraries in Gifu, Mie, Ishikawa, Toyama and Fukui prefectures.
     (When a book is borrowed from university libraries in prefectures above will be charged.)

How to check the request status

How to check the request status

  • You can check the request status through [My Account] of [Library Services] on OPAC.
  • Copy request list / Loan request list
    • Click "Bibliography information" to check the request detail.
    • You can cancel, delete requests or send bibliographical data to Bibliographic Management Tool.
      Please check the checkbox and click the button at the bottom of the screen.
  • Copy request detail / Loan request detail
    • You can cancel requests or send bibliographical data to Bibliographic Management Tool.
      Please check the checkbox and click the button at the bottom of the screen.
  • ATTENTION!!
    • You can cancel requests only if the status is "Under application".
    • You can delete requests from the list only if the status is "Rejected", "Cancelled", "Received" or "Returned".

 

Status Check

  • Under application: Request is accepted. You can cancel requests through [Library Services] on OPAC.
  • Under examination: Request is processed. When canceling the request, please ask the staff in the library where you made the application.
  • Waiting for arrival: Material is on the way. You cannot cancel request.
  • Cancelled: Request is cancelled.
  • Rejected: Request is rejected. Please check "Notification from Lib" for request detail.
  • Receivable: Photocopies are ready to be picked up at the applying library.
  • Received: Photocopies are delivered.
  • Available: Books are ready to be picked up at the library where you made the application.
  • Loaned out: You are keeping the books. Please return books to the library where you made the application before due date.
  • Returned: Books are returned.
